Deforest Youth Football Board Meeting – December 7, 2022

Meeting started at 6:02 pm 

Secretary Report- Notes were reviewed from the last meeting. Mike made motion to approve, Ryan seconds motion, secretary notes approved.

Open Items of Discussion 

Executive Board positions up for election this year- Director, Treasurer & Equipment Manager

Survey Takeaways- 4th graders being lumped in with 5th graders. Feedback was also they did not like that they were paired with 5th graders. Possibly pulling 4th grade out and having them in house. 5th grade would only play outside of the community. Utilize high school football players to help on Saturday youth games

Badger East- Liked how we split teams and our approach. 

Equipment- New equipment needed for 2023- Steve will get quotes. Recondition all helmets we can. Approved at the August meeting to purchase more jerseys, helmets and shoulder pads. We will need to purchase Riddell shoulder pads with back pad and belt buckle straps. We could save money by not getting new pants and feel we have enough. We also may need more practice equipment but will check with coaches.

New Business 

Unified Sports Booster Group- more to come.

Camps- We will need to decide when we do a unified sports camp. Kids that cannot play during the season. 1-2 practices and possibly get jerseys for camp.

Raffle- We are discussing if there is a better way to handle the raffle. We need a better plan for next year to distribute extra tickets. It was discussed to give the grade directors the extra tickets and they can oversee their grade. Create a form with a tab for each grade and grade directors are responsible for their number of tickets. Sponsors- talk to businesses to see if they want to donate.

Website- There was a discussion to change the website. Shannon gave us information on the website that is used for wildcat hockey. Shannon will have the Crossbar rep get in touch with Ryan and MIke for a demonstration on this website.

Practice starts August 7th.

Bylaw Review- Start looking at bylaws to see if there are any changes we need to make. This will be finalized after have our Exec board elections

Equipment- New equipment needed for 2023- Steve will review quantities. There are 110 helmets left to recondition. Approved at the August meeting to purchase more jerseys, helmets and shoulder pads. We will need to purchase Riddell shoulder pads with back pad and belt buckle straps. We could save money by not getting new pants. We also may need more practice equipment.

Grade Directors- We need a 4th grade director, but will take two volunteers if interested. Stef did not hear back from possible candidate. Mike will send email out. 

Badger East will meet around November 9th to determine if they will be accepting us as a full member. Ryan and Mike will attend.

Apparel Sales-we have not been selling it, but grade directors will get information out on it. We will sell it in the concessions at the games. Traci will get bank bag for apparel sales

Coaches feedback session- some things to look for:

 

  • Listen to coaches
  • Ask if they feel the Badger East program is where we should be as a league.If we should not be in the Badger East, what needs to change for us to stay if we are offered a full membership?
  • How can the board better support you?
  • What can Deforest football do better for players, coaches and the community?

Youth Night- North end by high school. Kids will stay by high jump area/track close to metal gate. At halftime -announced by teams and after they are released to an adult. We will rtry to get them in lines. 8th graders will try to do 50/50. 

Raffle Tickets- Deadline for raffle tickets to be turned in by October 10th. We will promote if you sell 20 tickets your name gets into a drawing for a prize-$100 cash.

New Grade Directors 

Secretary Report- Notes were reviewed from the last meeting. Megan made motion to approve, Traci seconds motion, secretary notes approved.

Open Items of Discussion 

Splitting Teams- Lots of players makes things more difficult. Trying to make things as even as possible. We have been working with coaches to make sure all siblings are on the same color team so families don't have to split up. All coaches need to communicate and all teams split at the same time. We need to formalize splitting of the teams protocol in the off season. Possibly have the teams split in DAYFL system, however we will re-evaluate as the season progresses. 

Raffle Tickets- Schedule pick up times. Pick up for grades 4th, 5th, 6th on Thursdays drop off Mondays. At the middle school 7th & 8th grades-pick up Thursdays drop off Mondays. Deadline for raffle tickets to be turned in by October 10th. We will promote if you sell 20 tickets your name gets into a drawing for a prize-$100 cash. 

Badger East Update- Schedule-finalizing final home game-Oct 15. On Sept 24th we will ned to have a schedule of 8am, 9:30am, 11am due to soccer in the afternoon. Badger East is looped in and we host Poynette and they are okay with the times. DMB is reserved for the rest of the home games besides last game of season. 

Grade Directors- We need a 4th grade director, but will take two volunteers if interested. 

Background Checks- All board members need an account with USA Football 

Request To Play Up- we will evaluate on kids playing up and we will get back to parents on requests. Decisions will not be made until we have team numbers and can evaluate the grades. 

Equipment- New equipment needed for 2023- jerseys, helmets, shoulder pads, practice equipment. Helmets -some will be reconditioned and then we will purchase more. Decals for 4th-5th padded(decals must be done during weigh ins - noted for 2023. We will be in touch with Bryan from Riddell - looking at a speed flex helmet. Numbers could be larger next year due to current teams at park & rec. 16 teams of 10 for 2nd/3rd and 12 teams of 10 for K/1st.

New Business 

Fort Jamboree- All positive feedback 

Executive Board Positions up for election this year are Director, Treasurer and Equipment Manager. This must be done by Dec/Jan

Open Items of Discussion 

Registration Update- Numbers currently - 4th grade padded-43, 5th grade padded-16,  5th & 6th grade tackle-55, 7th grade tackle-38, 8th grade tackle-44. Waiting list is  available.  

Equipment- We are on schedule to get equipment items so far. Helmets-100 instock, 66  recon and 55 ordered, total helmets=228. Shoulder pads- 228 total. Jerseys- 165 new  jerseys, we will not give numbered jerseys out at equipment handout. We will just  measure for size. We will need to order footballs. We also may need to order more  cones and more pads. Mike and Steve will assess. We will have stages for equipment  handout and do a dry run with the coaches & board members children. Ryan will handle  raffle tickets to have them ready for registration.  

Badger East Update- officials meeting cost $160. On 9-24 we will have a schedule of  games at 8am, 9:30am & 11am because of soccer in the afternoon. Official schedule DMB will be reserved for all home games except last week of season. So last week of  season, one game on grass due to youth soccer needing the field at noon. 

Grade Directors- We need a 4th grade director, but will take two volunteers if  interested.  

Request To Play Up- we will evaluate on kids playing up and we will get back to parents  on requests. Decisions will not be made until after registration. 

Parent & Player Meeting- Mike will get agenda for Mack & himself.  New Business 

Background Checks- AED us submitted for evaluation & recharge. This is set up thru  NCSI. All board members & coaches will have to get a background check and have an  account. Mike will sent out information on this.  

Insurance-Insurance check mailed in. We will be under the Badger East coverage,  check will be sent in also.  

Important Dates- Photos & Weigh ins- August 16th for 5th-8th tackle. No date set yet for  padded flag but Mike will let us know the week of the 22nd. Equipment hand in- TBD. 

Family Fun Day- August 6th. Apparel will be handed out and concessions available.  Autographs and open turf. Times: 10am-11:10am- inter squad scrimmage, 11:30am hand out youth jerseys & pass punt and kick, 12:20pm-one program photo,  12:30pm-12:40pm- dance team, 12:40pm-2:00pm open turf.

Badger East Update-Next Badger East Meeting May 25th. Check in on registration on June 22. July 1 we need to commit to number of teams. 

Coaches at 7th & 8th grade- 7th & 8th grade will practice together at times. Casey and Nate will co-coach.

Coaching Interviews- Discussed and we will set a date. 

Koz Family- Traci can call and purchase gift certificate for $500 for 10 sessions a Little Strokes

Deforest Youth Football Board Meeting – April 7, 2022

Open Items of Discussion- 

Badger East Update- Discussion was that we should close registration by July 1st and have waiting list. Raise the registration dates after July 1st. July 1st commit to the numbers for each team. We have league wide insurance 4-8th. Next Badger East Meeting May 25th.

Registration- Open on April 18th, we will have tiers with different dates and different prices. Early $150, $175, $200


4th & 5th Grade League Options-Padded flag, rookie tackle-8 player. Coaches for padded flag will get USA certified. 


Paid Coaches at 7th & 8th grade- Todd will send out an email with a coaching interest form for candidates to fill out. Aaron & Todd will interview.


Koz Family- Steve talked to Melissa Salinas and she talked with the owners of Little Strokes. $500 for 10 sessions if they give us ½ off. Tracey made motion to approve, all board members approved. 


Update from Village of Deforest- Todd said village will help in promoting camps.


Equipment- Steve reviewed helmets that need updating and reconditioning. Total of 190 helmets need to be reconditioned. We received a $500 BSN uniform grant from USA Football. Possible new jerseys for 7th & 8th grade since we will be short and Steve will look into. Steve received approval to buy 50 additional helmets from Riddell. Ryan made motion, all board members approved.

Camps- Youth camp - 99 kids signed up so far. Coaching clinic- we will put out reminders. Camp with Edge Fitness- Tracy met with Kellen and he would focus on speed and agility with the kids. Kellen said he would need 15-20 kids to have the camp. 

New Business-

We will send out an email with information on our new program changes. Mike will start on email.

Trailer- high school will be using the trailer.

 

Equipment/Potential Orders Before Next Season- Steve is reviewed helmets that need updating and reconditioning. Steve said it would be $6000 to recondition helmets. Aaron will look to see if he can find it cheaper. Steve accounted for uniforms but there are still a few missing. Possible new jerseys for 8th grade since we will be short. We will hold on portable goal posts.  Mike made a motion to change our logo to the Norski Head like the Varsity FB program, Steve seconds motion, change was approved by all of the board members.

 

Camps-UW Whitewater camp- we are okay if families that are registered for this camp to use our equipment if they are registered for our program.

 

New Business-

Coaches Meeting- Mike has received questions on team sizes, 8th grade limit on team size & weight limits. These will all be reviewed at the coaches meeting.

Gift for Tina- The board approved a $50 gift card for Tina

 

Apparel Order- We will be doing a bulk order to have items to sell throughout the season. We will be giving coaches hats and shirts. Board members and grade representatives will also receive shirts.

 

Open Registration- Early registration and late registration costs TBD.

Deforest Youth Football Board Meeting – January 24, 2022

● Dane County Update- 5 teams have pulled out of Dane County. Karly also will not be with Dane County.  We informed Dane County we are pursuing other programs.

Badger East Update- if we do not get into Badger East we will try to form our own league.  Badger East will only be adding 4 teams.

Alliance Update- no update currently.

Bylaw and Code of Conduct Review- these need review and will finalize after we confirm with our new league.

 

Equipment/Potential Orders Before Next Season- Steve is reviewing helmets that need updating and reconditioning. Steve is also getting any equipment returns put together.

 

New Business-

Koz Family- Apparel order for closed on 1/25/33. We will brainstorm ideas on how to assist them. We will hold on this until Traci can find out more information on their needs.

Treasurer Responsibility Transferred- Tina to Traci…transfer was successful.

 

Survey Review- Overall families were happy with the season experience. A few take aways were that families don’t like being in the Dane County League and families also want more involvement with the high school players.

 

Camps-Youth camp information will be posted on the website(Whitewater, Jeff Trickey QB Camp). Todd will also send information on high school camp when available.

New Business-

Development of Youth Philosophy- We are working to have enough resources for coaches. We would like to make it a 4th-12th grade program with the same philosophy. We need to focus on how to get participation numbers up, have early registration, and also have the high school players more visible in the middle school. We will brain storm ideas and send feedback to Todd on this. Lastly, we will send out a season ending survey to all youth families. 

Reviewing By-Laws for Changes-We need to start reviewing the by-laws for any potential changes.

Potential Items/Equipment Needed to Order Before Next Season- We will need to look at any items/equipment/apparel that we need to order before next season. Apparel bulk order.

Deforest Youth Football Board Meeting - October 20, 2021

Open Items of Discussion- 

  • Review feedback from coaches- 7th grade coaches were not present for meeting. Prepare newer coaches for game days. 

New Business-

  • Open board positions- Associate Director, Treasurer, Secretary 
  • End of the year parties- We will give money for parties next year. We will discuss this during the beginning of next season.
  • Start reviewing Bylaws for potential changes- kids playing up and also kids from other communities. We will review again in the beginning of the year. 
  • Equipment or any items we need to order before next season- goal post protectors, should pads. 
  • Trailer, goalpost, kickers net-  sell? 
  • Equipment return- Sunday, 10/24 4pm-6pm
  • 4th grades coaches- we need to start talking and recruiting.

Deforest Youth Football Board Meeting - September 29, 2021

Treasurer Report- Treasurer Report was reviewed. Megan made motion to approve, Heather seconds motion, treasurer report approved. 

Covid-Update on Season- Overall we feel like we have handled it very well for being a volunteer board. 

Open Items of Discussion- 

  • Apparel- Heather gave an update. There has been some apparel issues with BSN. Heather has worked with BSN to handle all of the issues. 
  • Raffle Tickets-  Ticket sales are going well and think extending the ticket sales worked really well this year. 

New Business- 

  • Parent Issue- Issue handled and resolved on 8th grade team.
  • Southside Issue- We had a parent complain that Southside players were using in appropriate language. We filed a grievance regarding these issues with DCAYFL. Mike will follow up on this and communicate resolution.
  • Open Board Positions- Associate Director and Secretary positions will be up for election. Tina will be done at the end of this season in the Treasurer position. We will then have an open Treasurer position. 
  • Coaching Feedback Meeting- This meeting will take place on October 20th @ 7pm. 
  • Equipment Turn In- Equipment turn in will be Sunday, October 24th 4pm-6pm

Registration- 4th grade-28, 5th grade-21, 6th grade-25, 7th grade-35, 8th grade-33. We will keep registration open until 7/3 at noon. Ryan made motion to approve, Tina seconds motion. We will have better communication on our website for next season. 

Equipment Report-

  • Hats for coaches-Steve will reach out to Justin

  • Practice jerseys-good-shipped out today

  • Kick off tees-good

  • Pants-2 needed for 8th grade, 2 needed for 7th grade

Open Items of Discussion- 

● Food Trucks-Heather will reach out to Kona Ice, Steve will reach out to El Alegre.

  • Apparel- Heather gave an update. Apparel shop will close on August 3. 

  • Raffle Tickets- All tickets are handed out. Grade directors will communicate with their teams via email and Facebook regarding hand in days, etc.

New Business- 

  • Schedules- There are only 3 teams for 4th grade. Mike reached out to Poynette & Waunakee to see if they wanted to scrimmage.

Deforest Youth Football Board Meeting - July 13, 2021

Registration- Numbers so far: 8th grade-30, 7th grade-28, 6th grade-22, 5th grade-15 and 4th grade-20.  

Equipment Report- We received a $500 Riddell Grant! Additional mouth guards will be ordered. Michael will send a follow up email to parents/coaches on equipment that is needed for the kids that we don't supply. 

Open Items of Discussion- 

  • Coaches Interviews- We do have 2 coaches that are interested in coaching 4th grade attend our board meeting for interviews. 


  • USA Football- We will send out a reminder to coaches to get certified, however we have seen a couple certifications completed. 

  • Photos and Weigh-In- August 16th 


New Business- 

  • Parent Meeting- August 2nd @ 6:00pm at the Athletic complex.  

  • Apparel- We will open the apparel shop asap. Heather/Steve are in contact with Justin. 

  • Dane County meeting July 20th(preseason) and July 28th(scheduled meeting)

  • Badger East League- Reached out to Ryan since numbers are low and interested in cross over games on Saturday, August 28th. This may not work due to our first football games being that Saturday.

  • Raffle Tickets- Are ready to be handed out at equipment handout. For every 20 tickets you sell your name gets put into a drawing. When you sell 10 more tickets your name gets put in the drawing again. Tickets will be handed out during equipment handout.

Registration- Numbers so far: 8th-16, 7th-18, 6th-13, 5th-6 and 4th-11. We will continue to spread the word regarding registration. 

Equipment Report- Michael will send a follow up email to Steve on equipment.

Open Items of Discussion- 

  • Coaches Interviews- We are still in need of a 4th grade staff. Michael will reach out to the parent that sent a message on Facebook regarding interest in coaching 4th grade.


  • USA Football- We will send out a reminder to coaches to get certified.


 New Business- 

  • 4th of July- Michael is waiting on information from the Chamber regarding working at a food truck for the celebration. Todd will find out more information regarding the float for the parade or what the plan is for walking in the parade. 

  • Apparel- Heather and Steve are in contact with Justin from BSN. Justin is getting our apparel shop together and our plan is to open it in July. We will use most of the same items as the high school had in their apparel shop, but we will add a few more youth items. The merchandise takes around a month for turnaround. Justin will let us know the instocks of the items closer to when the online apparel shop is open.

  • Picture Night- TBD but possibly August 16th. We will need to confirm the weigh-in date with Poynette.

  • Football Camp- Will be held July 15th & 16th at the high school.

  • Equipment Handout Date- July 18th & 19th

Deforest Youth Football Board Meeting - April 21, 2021

Meeting started at 7:34 pm

Treasurer Report- Treasurer Report was reviewed. Steve made a motion to approve, Heather seconds motion, treasurer report approved. 

Registration- We plan to open registration at the end of May. We will test registration with board members' children. We will have updated dates on the website and Facebook for registration date, practice start date, parent meeting, weigh ins and first game. 

Equipment Report-The high school asked to use some of our equipment for the spring season. 10 black pads, 10 yellow pads and 1 wheel. Steve will be going through jerseys.

Open Items of Discussion- 

   ● We are still working with the village to secure practice locations for all grades. Mike is working with Reese(recreation supervisor) on this.

  • Coaches Interviews. How do we want them structured? On May 5th, potential youth coaches will be invited to the high school practice. Board members are also invited to attend practice. After the high school practice, Coach Mack and Todd will give their expectations to potential youth coaches for each grade level. Mike will send out emails to potential coaches on how the process will work for interviews. Interviews will be held on May 5th(2 grades interviewed) & May 12(2 grade levels interviewed). The youth board will conduct the interviews with the questions that Ryan created. 


  • USA Football- we are fully certified and now coaches can now get certified. Background checks with NCSI. We did receive a $50 gift card. Mike is using the gift card to buy a shirt but will reimburse DAYFL for the gift card amount. 



 

New Business- 

  • Concession Stands-we are unsure how concessions will go this year in Dane County and also finding volunteers.  We are looking into a food truck and also will have Kona Ice at home games. This is all TBD based on the schedule of the games. All board members voted in favor of Kona Ice and El Alegre food trucks to have at the home games this fall.

  • Stefani is still waiting for money from Papa Murphy’s. She will keep looking into it.

Equipment Report- Steve missed meeting, but Michael will reach out to Steve for updates. The high school asked to use our equipment for the spring season. We are okay with this. Steve will apply for the equipment grant thru the Green Bay Packers. 

Open Items of Discussion- 

● Mike sent out changes on By-laws and they were all reviewed. Megan made motion to approve all changes, Tina seconds motion, By-Laws approved. ● Update from Dane County Youth Football-Spring League. There are not enough teams so they will not have a spring league. 

High School Football Update- with the new order the high school is scheduled to start in March and they are able to practice in Deforest. They are looking for a few covid coaches to help and ensure the kids are following precautions. The HS Football team is hoping it find someone in the community to assist. 

USA Football Enrollment- Opens on 2/17. The coach certification will go live in early March. Certification will be reduced from th 5+ hours in 2020 and there will be a recertification quiz for any coach that was certified in 2020. We will contact head coaches and assistant coaches to see who is interested in coaching. Michael will send out email to existing coaches. We will be then setting up interviews with coaches, time and date TBD. 

Practice Locations- We can start reserving locations for each grade. Mike will send out field locations via email and we will work with the village on 3/1 for field approvals. We also may need to get fields off of our school grounds. 

Off Season Improvements- Gridiron correspondents - how can we make one program

to come together better? 4th thru 12th grade. Possibly merging of the programs and one website are a few ideas. 

Misc. Items- 

● Dane County Update- Mike sent out the newest Dane County health order update that is opening up the size of gatherings. 

● We will wait to see how the next order update plays out and also wait until the high school season goes. 

● Mike contacted Poynette in regards to playing home games on their fields if we cannot play in Dane County. Poynette is open to hosting and will look to see what their capabilities are. Mike will work with them on contingency plans. We will communicate with families if this does happen. 

● Windsor Park Commission- all sports were on hold. LaCrosse just opened and baseball is currently open also.

Deforest Youth Football Board Meeting - January 28, 2021

Meeting started at 7:01pm  

New Introduction of High School Liaison - Todd Grundahl(Deforest high school assistant  football coach) 

• Spring High School Season update- workouts were started last week, planning  on March 8th to start practice and hoping to start games the week of March 24th. 

Secretary Report- Notes were reviewed from last meeting. Megan made motion to  approve, all members approved secretary notes. 

Treasurer Report-Treasurer Report was reviewed. All members made motion to  approve. 

By-Laws-  

• We will need to add high school liaison into by-laws. Varsity head coach will also be  part of the youth organization. Possibly giving both positions voting rights. We would  then need to change the quorum from 5 to 7 for voting in the by-laws. Megan  suggested we make sure this would not change anything with our 501c3.  

• We will be moving Equipment Manager to the Executive Board with a 2 year term.  There were no objections to this move.  

• Player Safety Coach- we have not recruited for this position. Michael will still look into  this with USA football.  

Registration- Will be open at the end of May. However, we will need to make sure we  will be able to play. Michael will reach out regarding playing outside of Dane County if  needed. We have updated dates on the website for start date, parent meeting, weigh ins and first game. 

Equipment Report- There are still a few missing uniforms yet, around 5 or 6. Steve will  look into and get more details on them.  

Off Season Improvements- Ideas will be sent to Michael if any arise.  

Fundraising-  

• Spring apparel will be on hold due to WD Baseball having their sale at the same time.  • Raffle tickets- we will wait until the fall to sell.  

• Helmets- sell during spring season when high school football starts.  • Papa Murphy’s- Stefani is looking into kick back since her previous attempts were  unsuccessful.

-Steve will look into organization for the helmets on the chain link fence in the she  possibly using an S hook or clips.  

-Riddell helmets need to be dealt with, given as gifts to outgoing 8th graders, trashed or  seeing if the community would be interested in buying the old helmets for Christmas  gifts. We would sell each helmet for $15 or $20. Steve will look into selling the helmets  to the community and send an email out.

Election Nominations Time Frame- Positions up for election: Program Director, Associate Program Director, Treasurer, Equipment Manager, 4th Grade Director, 5th Grade Director, 6th Grade Director, 7th Grade Director and 8th Grade Director. Nominations will be completed by November 16, 2020 at midnight. Election/votes for non executives will conclude by midnight November 30, 2020. Executive board members will be voted in by board members at the boarding meeting at 7pm on November 30, 2020.

Badger Alliance-Nick reached out Ryan. Alliance still may have issues with Deforest Football. Paul volunteered to write a formal letter to the Alliance. Board will approve before sending.

Deforest Youth Football Board Meeting - February 23, 2020

Meeting started at 6:49pm

Secretary Report- Previous meeting minutes were reviewed and approved by all board members.

Treasurer Report- Treasurer Report was reviewed. Report was approved by all board members. Megan made the motion to approve the minutes. Terisha seconds. Minutes approved

Equipment Report-Notes approved.

Equipment Review- -We will need shelving up yet. -Still missing equipment from grades. 4th-2, 5th-5, 6th-4. 7th-2, 8th-3 -Apparel-Get quote from BSN on apparel and equipment. Pads for goal post, yard markers, Ask if we would get a kick back.

Conservancy Fields- -Grand opening May 28th. Baseball game scheduled for after the grand opening. Ideas for Youth Football Games- Coaches vs. Parents softball game or some sort of opening games on the field. Lawn games, combine? Possibly bring high school football players to help with games. Use of the octagon building for concessions. We will have first rights for field usage. Maybe 2 games at Conservancy and 2 night games high school turf. Flip between grades under lights and Conservancy. Score board controller, need $800 for controller, wait until April to order it. -Turf Project- payed $5000 in 2019 and we will talk to Mike or Todd to see when it is due. Other fundraising ides, will discuss in March. Culvers? Bowling? Cash raffle.

Helmets-we don’t need to re-con or need more

2020 Apparel Items-we will set dates, possibly have June 1st opening and registration

Badger Alliance-Nick called and emailed in January, but no response. Lodi is leaving Alliance and maybe dong an in-house(4th-6th). Nick will see if the Alliance is worth going to. Nick will reach out Ryan when he returns. We also need new refs.

Nick will reach out to Alliance and will also be attending the Dane County meeting in November. Dane County will more than likely change the weight rule, Nick will look into. 

 

Alternate Equipment Hand In- December 2nd, 7:30pm-8:00pm

 

Off Season Improvements-board needs to think about some ideas and bring to the next meeting.

Deforest Youth Football Board Meeting - November 3, 2019

Equipment Hand In- 

-Overall the hand in went well. 10 families have not turned in. Parking is great. We will get late equipment turned in after Thanksgiving when the boys turn in jerseys from wearing them to play off games.

 

Shed Ideas-

-20 helmets do not have a home as of yet. We discussed purchasing the same shelving that is currently in the shed. We will possible purchase if shelving donation does not come thru. Mike made a motion to purchase same shelving(2 racks @ $349 plus tax) contingent on free shelving. Steve seconds.  

-Goal Post-the village is providing one for now. We also have one is storage. Nick called the goal post company to get a new bracket but they do not know how to obtain the needed bracket without getting a new goal post. Nick will talk to other programs to see if they will donate goal posts.

-Helmet Cart-looking in to getting a new one

-Jersey Rack-leave for this year. 

-Shoulder Pads-figure out how to store them so mold is not an issue. Also a suggestion to look at plastic in between the pads. Lastly have equipment hand out early then mold would not be an issue in summer months. 

 

Off Season Elections-Associate Director, Secretary and Equipment Manager are up for nominations at the end of the season.

Conservancy Fields-There are lines out to future light poles. Fields were seeded 2 times and we feel we could play on the field next year in the fall. There would be one practice field and one for games. 2 grades will practice there. The high school is moving to the middle school for practice during construction. Table discussion for future meetings.  

 

Turf Field and Fund Raiser-We already donated $5000. We will talk to Mike on new plans since we will be donating a total of $10,000. Nick will talk with Mike on future fundraising plans.

 

8th Grade Monies- We need a better system to track how much classes are receiving from the kickback(Empire & Badger) for parties at the end of the season. Every year we budget $650 for the 8th grade team to play in a tournament. This year the 8th grade team was not going to play in a tournament. So a decision was made for the 8th grade team to allow them to donate $450 to DASD for turf donation. Terisha made the motion for the 8th grade to donate $450 to DASD for a turf donation in their name. Paul seconds the motion.  We are going to table the discussion for future end of season parties. 

 

Grade Money Tracking Improvements-This year each team was allowed $10 per kid. Moving forward it will be $5 per kid. Table discussion for next meeting.

Equipment Report-Notes approved. Old Riddell helmets, 20 given to Mike for the 8th grade players.  We will discuss more in the off season on goal posts and other equipment issues. 

 

Apparel orders-2nd order of spirit & parent wear will be here shortly. 2nd order for coaches will be coming out soon.

 

Concessions- Possibly having a club involved in it, DECA? Nick will email John Webster. Another option is to have a concessions coordinator and they would have their fees waved. Grade directors sent to information on the concessions for 10/5 games.

 

Cash Raffle-

-Our net was $11,000 in a shorter period of time from the last year. It was brought up to sell tickets until the start of game time next year. Paul will check on the rules. 

-We are also looking for someone to learn from Paul for ticket sales and bookkeeping. 

-Next year, it was brought up to have a top seller prize. Ideas were - Badger tickets, Packer tickets, Norski VIP ticket. Will discuss in off season

 

Equipment Hand In-November 4th- equipment hand in at the shed. We are asking board members to come in and help. Nick will send out an end of year email with the time and date. Grade directors can send out the same email.

 

8th Grade Game-Table discussion. Nick will ask Mike

 

Shed Ideas-Nick has racks up and 125 should fit on rolling racks.  S hooks for rest of helmets.  Pants in bin on wall. More to come on the organization of the shed.

 

Off Season Elections-Associate Director and Secretary are up for nominations at the end of the season.  Paul Kirchberg, currently Associate Director and Heather Nelson, currently Secretary. All grade directors up for nomination at the end of season. 

 

Off Season Improvements-

-Board should start bringing ideas to meetings during off season. 

-Nick will bring up to the Dane County board the 5th grade game vs. West Regents. He will talk to the Dane County board about weight vs grade. Nick will also bring up co-op idea to Dane County

-We will have a season wrap up with coaches  and the board. 

 

Conservancy Future- 

-We don't have a concessions stand set up. Seeding of grass, we feel we can play on it next year as it looks right now. We will make a decision next year.

-Goal posts-Nick will look into 

-Bathrooms and concessions- it was pre-approved thru Kelli(Village of Deforest) for use. We will need to find out who is in charge of cleaning the bathrooms.

 

DHS Future-Mike McHugh and Todd Grundahl talked to some members of the board.

This will be revisited, fundraising expectations for the future.

 

Misc Items-End of year parties. Grade directors will ask coaches on what to do. Find out from Empire on kickbacks for parties.

Prior to the board meeting starting, Nate Ladwig addressed an issue with a 6th grade player to the board. The player climbed into the ceiling tile in a bathroom at the middle school. He fell and received stitches in his leg. Nate gave a speech at the beginning of the season to his team that school comes first.  Players are to have discipline and make good decisions when in school, at practice and on the football field. They all do sign a code of conduct prior to the season starting. Nick made a motion to vote on game time lost for this player due to the code of conduct violation. All board members agreed. There were no objections from the board on disciplinary action for the player.

Equipment Report- 

  • Sled was delivered, Nathan put it together. 
  • Some of the shoulder pads are getting moldy again.Torn or moldy shoulder pads will be thrown away. 
  • Smaller sizes of shoulder pads were the first ones to go this season. Note for next season on needing smaller sizes for shoulder pads.  
  • When we put the shoulder pads in the new shed, we need to make sure they are put up high(away from concrete). 
  • The high school is donating racks for helmets. We will need new jersey racks, Steve will look into this.
  •  

Turf Update- There will not be turf at this time, probably not until next year. Updates as we receive them.

Conservancy Updates-Nick confirmed September 1st will be move in. We will move out of the old storage unit by August 30th. We will need a small dumpster for move. Mike will drop off trailer to clean out old storage.

501c3 Updates- Jane called and left a message for Joe. Tina and Heather will be in charge of this going forward. Mike made motion, Jane approved

Sled Purchase-Delivered and assembled

Taxes Filed-Jane left a VM for Joe. Mike made a suggestion that Jane ask Joe for a suggestion for a CPA firm to taxes and 501c3 status. Mike made motion, Jane approved.

Coaches Hats-Handed out to coaches

USA Certification-11 out of 40 coaches are certified 

Weigh-in Prep-All information on google docs. Brent Wagner from Poynette will come on Aug 14 and observe our weigh-in. Nick will observe weigh-in at Poynette on Aug 15. Nick will handle grades 4-7, Mike will handle 8th grade. Certifications will be needed from coaches but also a copy in their binders. 

Picture Night Planning- August 14 @ 5pm. Start with 8th grades. After they take picture, then they will go to Little Theater for weigh-in. Executive board will be there to assist. 

Line Painting-Nick took care of it, however one field still needs to be done.

Game Fields-Same field as last year.

Concessions-Will have concessions for 8:30 & 10:15am games. Megan will help get concessions set up. Tina will coordinate donuts. A new tent is needed since the old one broke. Jane made motion to buy a new tent for the concessions up to $200, Mike seconds. Nick will check Fleet Farm and Amazon.

4th of July Recap-Overall it went well. Buckets for the candy needed next year. An open trailer or trailer with back open may work better.

Misc. Items- 50/50 raffle- over half donated to Brody Koslowski.

DHS Youth Camp-July 15, 16, 17- need to advertise camp on Facebook. Nick will get in touch with Paul to post on FB page.

Gridiron Report- no report.

 

USA Certification Class at LaFollette 7/13 details-Nick sent this information out to coaches.

 

Coaches Evaluations and Approvals change- Done

DeForest Youth Football Board Meeting April 29, 2019

Jane Blau, Mike Loveland, Nick Kemp, Terisha Drinka, Steve Tanner, Tina Ladwig, Paul Kirchberg, and Todd Grundahl were in attendance.

Meeting started at 7:35

Todd Grundahl came to speak about the fundraiser effort for the turf football field at the high school.  They are trying to raise the money by the 5/15/19 School Board Meeting to have the turf field ready for this fall football season.

Jane made the motion for the league to be an All-Conference Sponsor.  Donating $5,000.00 this year and $2500.00 for the next two years. Terisha seconds.  Motion approved.

Helmet Change-47 helmets need to be reconditioned. 69 Riddell helmets from 2009 that are re-conditioned, are at the 10 year and need to be destroyed. So the 69 need to be replaced. Jane and Steve made the motion for 47 helmets to be reconditioned, 70 new Zenith helmets to replace the 69 Riddell helmets. Tine approved.

 

Uniform Change- We tabled this discussion for the next meeting.

 

Referendum-Turf Field-donation to possibly have youth games on Saturdays. We need to have a decision by May 15

 

Conservancy Updates-If we decide to give money to the school for turf field but we would still like to use shed at conservancy

 

Moving Plans- Discussion that we would hand out equipment in July and then move over equipment to conservancy.

DCAYFL Meeting and Rule Changes So Far- We tabled this discussion for the next meeting

 

Sled Purchase-Mike would like us to purchase. $1700 sled purchase, the high school would buy 3 sleds and would donate one to us. Total would be $1794. Jane makes motion of $1800 max ceiling or less we purchase sled thru the high school per Coach Matthews. Steve approved.

 

Coaches Clinics May 19th and June 23rd—Times TBD on coaches clinic. Remind Nick to send reminder email

 

USA Coaches Certifications-One day clinic for all coaches in Dane County. Nick wants to purchase T-Shirts for coaches that attend. Possible money off of football registration for coaches that attend. We decided to table this discussion until next meeting.

 

Coaches Clinic T-Shirts-discussion that money would be taken off at registration if coaches attend.

 

2019 Apparel Order- Possible women item for clothing. We would like to see a womens cut in clothing though. Nick will work with John for some new ideas. Items thrown out were umbrellas, blankets and joggers.

 

2018 Taxes Filed-Nick will check with Beth and Joe if taxes have been filed.

 

Registration Signs- Deforest High School would like us to get out registration signs(yard signs). Tina thought the high school was going to do this. Heather will look into starting an Instagram and Facebook page for DAYFL to get the word out about registration also. Nick will do a mock up and present to board for the registration signs.

 

Misc Items-Nick will schedule an in person meeting to discuss turf. We will table discussion for that meeting.

Equipment Report- Nick was going to check in with Jay on the sled. Equipment turn in overall:4th grade is still missing 1, 5th grade is missing 1 possibly, 6th grade all in, 7th grade missing one, 8th grade missing a few. These families will be notified to turn in the missing items.

 

Helmet Change- we are possibly going to black helmets. Mike from Zenith was here to show us new Helmets and give us pricing options via the Product Playbook 2019. Reconditioning needs to occur on some helmets. There are 69 helmets to possibly replace with trade in. We currently have 60, 2009 helmets that are at the 10 year mark. We are still in discussion on what we will move forward with on the helmets and reconditioning.

 

Uniform Change- We tabled this discussion for the next meeting.

 

Mt. Horeb is out of DCAYFL- Mt Horeb is going to Alliance. We discussed the move for our youth football down the road, but not movement on discussion in this meeting.

 

Referendum-Everything is a go in the referendum except the turf field. They would need to add an additional $4 million to the referendum for the turf field. 

 

Conservancy Updates- Storage building and lights are up.

 

Moving Plans- Discussion on this after registration.

 

Registration Open-Discussion was for possibly May, but we need to lock down dates at next meeting.

 

Website Updates-Paul was going to look at the login security and generic email for contact.

 

501c3 Updates- Nick will reach out to Jane on updates.

Grants- USA Football Grants- Beth and Jane have looked into in the past. Field grant- Tina will follow up on this.

 

Parent Meeting-We discussed if there should be a meeting this year. The Monday of the first week of practice was discussed since it seemed to work last year.  Possible have the Head Coaches speak to parents when assistant coaches are starting practice. No decision made on this yet.

 

Weigh-In 2019- We will do pictures and weigh-ins on same night.

DeForest Youth Football Board Meeting November 28, 2018

Secretary Report – October meeting minutes were reviewed.  Beth made a motion to approve the minutes.  Mike seconds.  Minutes approved.

Equipment Report – We are going to need some new shoulder pads soon.  Nick will start looking into quotes.  DAHS Football coach, Jay Matthews, has mentioned trying to look for a new sled to allow the younger kids to utilize.  Nick will talk to Jay and look into prices to bring to the board.  We have a few players who haven’t turned in their equipment yet.  We need to pull a report of who and contact to return equipment or invoice them for the equipment.  We have less than 6 jerseys that will need to be repaired.  Nick will talk to Jane about possibly repairing these for us.

Coaches Meeting to recap the 2018 season is scheduled for 12/2/18 @ 8:00 pm at Rodeside.

Conservancy Progress: The Village will be supplying electrical to the fields for lights/scoreboards.  The Village is requesting that we pay for the scoreboard or they have an old scoreboard from MATC that we could look into painting to use.  If we purchase a scoreboard for the field, the village would maintain the scoreboard and ultimately own it.  The village is quoting us $426/month rental fee for storage facility at the new fields.

Helmet Reconditioning/changes – We have 69 helmets that will need to be discarded and 47 reconditioned.  We can recondition for $38.00/helmet.  Nick has been working with Xenith too possibly look into changing the design on our helmet and look into switching over to the new/redesigned helmets.  Nick has received a few quotes for us to consider.  He will have a Xenith rep come to our next meeting to discuss this topic further. 

Weigh-In is scheduled for August 14, 2019.  We will do weigh-ins and pictures on the same night.  Pictures will start with 8th grade at 4:50 and weigh-in with 4th grade. 

DAYFL will continue with the ruling of not having birth certificates be required.

Secretary Report – September meeting minutes were reviewed.  Beth made a motion to approve the minutes.  Paul seconds.  Minutes approved.

Treasurer Report – Treasurer Report was reviewed.   We have not received our Empire Phot Kick Back yet.  We have not paid for the trainer or Insurance yet this year.  Paul made a motion to approve the report.  Jane seconds.  Report approved.

Equipment Report – This was the last season for the 2009 helmets.  It was discussed to possibly look into giving them to next year’s 8th graders if they were interested in them for a souvenir.   We need to look into getting some new shoulder pads.  It was also discussed to possibly get each grade a helmet repair kit for use during the season.

Equipment Hand-In – It is 11/4/18.  Paul will send out a reminder email to families.  We will need at least one representative from each grade present.

End of Season Review – the season went well.  Overall concussions were low.  We had 1 for 5th grade, 4 for 6th grade and 2 for 8th grade. 

Elections/Nominations – We will have the following positions open for elections/nominations as of November 1: President, Treasurer, Equipment Manager and Grade Directors.

Referee Evaluation/Solution – Nick discussed with Dave Von Behren about the possibility of him taking over as the head ref next year.  If not we may look into Warner Park refs.

Conservancy Field – We will tell the village we don’t want to pay for the concession stand and see about getting them to pay and add to the first phase.  We will look into purchasing at least one set of goal posts for early spring and look into getting the scoreboard sponsored by a local business.

Helmet Reconditioning & Jersey Repairs – See where we are when the equipment comes in.

Off Season Improvements – Consider eliminating the coach’s plaques and in place either credit them for apparel purchase or money back for player fees.

Rule Concern – Nick will take to Dane Co our concern with not collecting birth certificates.

2019 Raffle – yes we will do again

2019 Registration Fee – leave at $140.00

Equipment Report – Nick got the shed cleaned out.  Josh is ready for equipment hand-in. 

Nick will work on scheduling pictures with Empire and Weigh-In night for the same night for next season.

Cash Raffle – went well.

Fields are started.  We need to start looking to budget for goal posts to be installed during construction process.

8th grade has a game scheduled on 10/20 @ 9 at Warner Park vs. Sun Prairie in place of their allotted tournament.

4th grade has two byes scheduled at this time.  Look into renting Warner Park on 10/16, so they can play Memorial.  Check to see if Memorial will either pay for refs or help cover some of the cost.   Jane made a motion that if Memorial will help cover the cost we will pay for this game.  Tina seconds.  Motion passed.

Treasurer Report  - Treasurer report was reviewed.  Beth will run a report to see if there are any open balances that are not paid and let the grade directors know if there are any open for their grade.  We will then review to see if there are any scholarships that need to be approved.  Tina made a motion to approve the report.  Paul seconds.  Report approved.

Equipment Report – A dumpster will be delivered tomorrow morning at the shed for Nick to begin throwing away the old equipment that is in the shed. 

Website/Documents – everything is updated at this point.

Apparel Order – the second order did better than the first order.

Concession Stand – Nick will look into moving the concession stand closer to the field.

Youth Night/Raffle Prep – Tina, Beth and Angie will assist Paul with the raffle.  We will have a tent, chairs and a table to set up.  It was suggested to donate our 50% of the 50/50 raffle proceeds to the flood relief for Reedsburg.  This was voted on and approved.

Parent Meeting – everything went well and the turnout was good.  We will continue to keep this the first night of practice.

Weigh-In Night and Picture Night – everything seemed to go good.  There were coach feedback to have the weigh-in night have specific times for each grade, so that the younger ages could avoid waiting for long periods of time.  It was discussed to move Weigh-In night and Picture Night back to one night.  We will try to plan this next year and have an alternate rain date scheduled with Empire Photography ahead of time.

Secretary Report – June meeting minutes were reviewed.  Beth made a motion to approve the minutes.  Paul seconds.  Minutes approved.

Treasurer Report – no major expenses.  Paul made a motion to approve the report.  Tina seconds.  Report approved.

Equipment Report – Nick and Josh did the prep.  Coach’s boxes are prepared.  7-9 balls/grade.  6th-8th grade have practice jerseys.  5th has practice jerseys they bought the year before.  The new helmets that were purchased are not in yet.  The jerseys that were sent in for repair are not done yet, because of a mix up with Badgerland.  Jane offered to look at what the repairs would entail and offered to possibly fix for us, otherwise we will be giving them back to Badgerland to send in for repair after equipment nights.

Concession Plan – we will have 2 grades that have home games assigned to concessions each week.  The grade coordinators will be responsible for making sure we have volunteers to work concessions.  We will also use Sign-Up Genius.

Goal Posts – The Middle School denied having goal posts on the fields this year for safety reasons.  We will be doing 2 pt conversions in place of the goal posts. They ok’d the goal posts on the 7th grade practice field.

Field Committee – Nick, Jane and Paul offered to be a part of this once things kick off.

4th of July Parade – We had 56 boys show up for the parade.  Things went well.  We did run out of candy towards the end.

Apparel Orders – we may open up a second order

Cash Raffle – Drawing at Youth Night.  Paul will rework the #s and email out suggested prize drawings based on the lower numbers this year.

Equipment Handout - Begins this week.  We would like 2-3 coaches and the grade director present during handouts. 

Parent Meeting is Aug 1 @ 5:30 in the North Gym.

Team Declarations – so far we have 6 squads.  6th grade has two squads.

Coaches Re-certifications – Nick will check who hasn’t completed and email the coaches and copy the grade director.

Pictures for Binders – These will need to be done separate from Picture Night, so that it is completed and in the Coach’s binders for Weigh-In Night.

We are trying to set-up scrimmages with Poynette.

Weigh-In Night is Aug 15 and Jane reserved the Wrestling Room.

Picture Night is Aug 20 at the DHS practice fields.  We would like the grade directors to assist with this.

Equipment Report - Line painter and paint have been purchased and are in the shed.  The 27 reconditioned helmets have been returned and are in the shed.  

Helmet Purchase - they are held up, because of the 501c3 form.  Nick will call to get a status.

Conservancy Field Progress - Scheduled to begin this summer and be complete next summer.  There is a possibility of us having a storage area to rent.  We will look into the cost and decide at that time.  They will not be putting the concession stand up and are looking to us to put it up.  We need to look into who would own the building, pay for insurance, rental of the stand, etc if we did this.  We will set up a filed committee when the time comes.  Nick and Jane offered to be a part of the committee.

Concession Plan - renew the Costco Membership for the next year was approved.  We are still discussing who will run the stand this year. 

Goal Post Repairs - We need to find out if the school will allow us to keep the goal posts on the school grounds and if we can how we want to repair.  If we didn't have the goal posts we would have 2 pt conversions.  We will wait to hear from Mike McHugh on whether they can be on the school grounds.

July 4th - Terisha has the handout sheets.  Beth will get candy.  Jerseys are handed out and returned that day.

Apparel packages were extended until July 1st.

Goal Post Issues – some of the post from the DMS were bent and broke.  Nick will check with ASA to repair and check with Mike McHugh about approving us to continue to keep them at the middle school.  We could offer to move them to the back of the lot after the last games.

Season Prep – Parent meeting will be held during the 1st night of practice on Aug 1st, but we will try to reserve a room (maybe the PAC).

Scrimmage – Poynette and Warner Park are options.

DeForest Youth Football Board Meeting April 25, 2018

Secretary Report – December and March meeting minutes were reviewed.  Beth made a motion to approve the minutes.  Jane seconds.  Minutes approved.

Treasurer Report – no major expenses.  Jane made a motion to approve the report.  Angie seconds.  Report approved.

It was discussed to have Paul list coaches on the website as a coach, so that it makes emailing easier.

Equipment – Jerseys are still out for repair.  Reconditioned helmets are still out for repair. Jay from the DAHS football team offered us 2 helmet racks.  We will need to get tape, mouthguards, and ice packs for the equipment cases.

Conservancy Field – It is now owned by the village.  Village owns the land, there will be electric ran to a certain point, lighting to the scoreboards and PA, water to the field.  The concession stand is not in the budget.  Restrooms will not be by the field, but they will be near the octagon building.  The should start this Spring/Summer and be ready Fall 2019. 

Background checks – USA does coaches/commissioners.  NCSI would be used for the board members at approximately $25.00/person.  Jane will send to get us registered.  Jane made a motion to move forward with the background checks at approximately $150.00.  Beth seconds.  Motion approved.

Line Painter – Beacon Athletics has one that you can paint roughly 10 fields with a 5 gallon bucket of paint.  The lines last approximately 3 weeks with play.  The cost is approximately $2300.00.  It would save us approximately 75% less than aerosol.  Jane made a motion to buy.  Beth seconds.  Motion approved.

Registration - Have Paul put something on the website about registration.  Maybe look into posting on the schools Facebook pages. 

Warner Park – Chris Davis was removed as Program Director.  It was suggested to maybe donate some of our old equipment to their program if they need it.

4th grade football – no changes.  May eliminate special teams.

New helmet purchase is being held up because of a tax exempt document that is needed.  Jane will look into getting the paperwork.

2018 coaches will be interviewed in May

Website Domain Fee is due - $52.00/3 years due May 11

Website Management – Grievance form is not on the website.

New Field Committee – start a small committee to work on planning.

USA may be getting rid of Player Safety Coach.  There would be a clinic that coaches have to go to.

Secretary Report – December minutes will be reviewed at the March meeting.

Treasurer Report – new checks were ordered and it was decided to stay at Old National Bank for now; Nick made a motion to approve treasurer report.  Paul seconds.  Motion approved.

Equipment – 36 jerseys and 27 helmets are in for repair/reconditioning to Badger; approximate cost $1,215.00.  They will be done by June.  We have some old helmets in the shed that need to be disposed of.  Josh will take the helmets to the dumpster.

Conservancy Field – No change.

Background checks – Will have Jane look into.

Line Painter purchase – There is a place in Middleton we could buy from.  Amazon is also an option.  Josh will look into prices.

Insurance – sticking with what we have; ours covers the equipment in the shed only; Dane Co. policy covers our program as a whole.

Helmet purchase direct from Xenith; approximate cost $3,000.00.  Josh seconds the motion. Motion passed.

7th grade coach position is still open and 5th grade coach is still in discussion.  Coach interviews will be in April.

2018 Concessions – decided to keep the concessions in house for another year.  Each week a specific grade will be responsible for running the concession.  The grade director is responsible for coordinating volunteers.

Registration – May 14-July 20 $140.00; will put in the Flyers to Families.

Parenting Meeting – 1st night of practice.

Open positions – 4th grade director, 5th grade coach, and 7th grade coach.

Warner Park – They are on indefinite probation from Dane Co. until they get rid of their program director.  As of now they will not be in the league this year.

4th grade Rookie Football – USA Football Pilot Program – shorten game times.  For now we are sticking with what we have.

We will hand out ¼ sheets to advertise the program at the 4th of July Parade – Terisha will work on these.

 Treasurer report – No major expenses – the trainer bill will come shortly. Insurance was paid for the equipment @ $398.  We need to review this   policy & up the coverage amount.

 Equipment –We need to buy a line painter – Josh will start getting prices on different options. Jane made a motion to purchase 16 new Xenith   helmets & send 23 to be reconditioned. Josh seconds.  Motion approved.  This will give us 180 useable helmets for next year. We also need to   send 40 jerseys to be repaired @ $6 each.

 Conservancy Fields – No change. The village is waiting for the developers.

 Angie presented a final draft for the grade directors manual – there are a couple minor changes to be made & then it will be ready.  This should   help with any confusion on what the grade directors duties are & a timeline to get them done.  Thanks Angie!

DeForest Youth Football Board Meeting November 1, 2017

Meeting started at 7:14

 Secretary Report – Steve made a motion to approve the minutes. Angie seconds. Minutes approved.

Treasurer report – YTD major expenses – Equipment $11,317, Storage Shed Rent $4,775 & Ref Fees $4,990.  Paul made a motion to approve the Treasurer report. Steve seconds.  Motion approved.

 Equipment – The shed needs to be cleaned up & ready for equipment hand in on November 5th from 4:00 – 6:30.  Nick will be tossing the old practice pants since most kids wear shorts & girdles.  Next year the coaches are requesting we buy smaller sleds for the younger grades.  We also need to buy a line painter – Nick or Josh will start getting prices on different options.

 Conservancy Fields – No change.

 Every year we make money on the clothing sales.  Paul made a motion to distribute this money on a per player basis each year.  This money will go into a “fund” that is tracked by the treasurer.  This money can be used by each grade when they have year-end activities.  It can be used each year or saved & used whenever the grade decides. Steve seconds the motion. Motion passed.

 We are looking for nominations for grade directors next year.  Please contact any board member with names of candidates.  These will be voted on in November by the parents of each grade.

The Vice President & Secretary positions are open on the board.  Please notify Nick Kemp with nominations for these 2 positions.  They will be voted on in December.

 Sheila Smozynski resigned from the Treasurer position in May – Beth Faust has been filing in.  Terisha made a motion to approve Beth Faust as permanent Treasurer for the duration of the term.  Angie seconds. Motion passed.

 Concessions are not a huge money maker but more of a convenience.  We talked about having outside club run concessions next year as no one wants to step up and take this over.

 Insurance for our program – do we need it?  Nick will get the insurance policy that DCYFL has & see if it covers our program.  This may be an expense that we can eliminate.

DeForest Youth Football Board Meeting October 4, 2017

 Secretary Report – Angie made a motion to approve the minutes. Jane seconds. Minutes approved.

Treasurer report – Major expenses were Storage Shed Rent, Port a Potties & Ref Fees. Steve made a motion to approve the Treasurer report, Jane seconds.  Motion approved.

 Equipment – The shed needs to be cleaned up & ready for equipment hand in on November 5th. New jerseys are on the radar for next year – starting with 8th grade & working down. We need a new line painter – we spent $1,400 on line paint this year.

 Conservancy Fields – No change.

 The program will be getting back $751 from Badger Sporting Goods for the apparel kick back.  It was suggested that each grade received $3 per child to have a party if they choose or save it to be used when they are in 8th grade for whatever they do at the end of the season.

It was asked if the Board members still have a background check – Nick will see if we can use USA Football’s service to do this.  All coaches have this done before they approved.

 Nick will be setting up coaches evaluations after the season wraps up.  If you have any issues with the coaches or the program that you would like addressed please file a grievance – these letters can be found on the website.

 We still need more parents to help at the concession stands – please consider signing up for a shift.

 The Vice President & Secretary board seats are up for nominations next year.  These are 2 year terms – please let any board member know if you would like to be nominated.

Equipment – We talked about buying a line painter as the line paint we buy is very expensive. 

Conservancy Fields – Village is waiting for the developer to move forward.

Question was asked about our reimbursement from Badger Sporting Goods for all the apparel we have bought – Nick will check into this

We raised $13,154 from our Cash Raffle.  We want to give a huge THANKS to all the parents who sold tickets – this is an easy way for our program to make money & we appreciate everyone’s efforts.

Coaches - please take any players who have quit out of your binder.

Youth night went well – we raised $507 on the 50/50 raffle.  This money helps pay for the 8th grade tournament.

We still need more parents to help at the concession stands – please consider signing up for a shift.

Treasurer report – Shoulder Pads, Helmets & Line Paint were major expenses.

 Equipment – We paid Badger $6 per jersey to repair 30 jerseys.  Helmet decals were ordered & will be applied on picture day.  Need to order a couple more pairs of pants.

 Conservancy Fields – Nothing started yet but will be soon.

 All home games this year will be played at the Middle School.

 Spirit & Player Pack are reopened until August 13 – this will be the last opportunity to order this year.

Weigh-In  will be held on August 15 at the DHS Wrestling Room.  Alternative Dates are Aug 13 from 1:00 – 3:00 @ North District Madison Police Station & August 21 from 6:00 – 8:00 @ West District Madison Police Station.  Please bring a $30 check made out to DCYFL if you go to either of the alternative weigh-ins.

 Picture Night will be August 15 before weigh-in.

 Look for Sign-Up Genius for game day & concession sign ups.  PLEASE help out – it takes everyones help to make this work!!

 Paul Kirchberg will be collecting Raffle Tickets – look for him at the practice fields – these all need to be turned in by August 28th – even the ones you do not sell.  The drawing will be September 8th @ Youth Night before the Varsity Football game.

Treasurer report – Beth had the P&L – still trying to get all the info from Shelia.

Equipment – Jersey Repairs are still being worked on, Helmets should be back soon from reconditioning, 50 new shoulder pads were ordered – spent $3,500 on these.

Conservancy Fields – Delayed 1 month – the village is seeking support from local businesses to pay for the concession stand & storage sheds.  We would then be responsible for goal posts, bleachers & scoreboards.

Nick is meeting with Mike McHugh regarding using the Middle School for game fields if we have another rainy season this year.

Angie presented a rough draft of a Grade Director’s Manual – this was tabled & will be discussed next month.

May 15 – July 15, 2017 are the registration dates - look for it on Fliers to Families.

Player/Spirit Packs are out – deadline is June 25 – get your orders in.

We are moving our monthly meetings to the 2nd Wednesday of the month @ Rodeside.

Equipment – Tackle Wheels have been delivered.  Nick had pricing on new shoulder pads for the 7th & 8th graders.  Paul made a motion to approve a $3,000 cap on ordering new Ridell Rival JV pads. Josh seconds. Motion approved.  The reconditioned helmets are due back in June.  Jersey repairs are still in debate with Badger Sporting Goods.

 Conservancy Fields – nothing new to report on.

 Nick had coaching interviews and one of the 7th grade head coaches & the 6th grade head coach stepped down.  We are seeking new coaches to fill these positions – if interested contact Nick Kemp.

 2017 Fundraising – Cash Raffle will be our main fundraiser.  Steve made a motion to approve each family is responsible for selling 10 tickets or has to pay $100.  Paul seconds. Motion passed.

 DHS Fields are still a huge concern.  Windsor or DMS are possible alternative locations.  Otherwise the program might have to buy a water pump if we have another rainy season to keep the playing fields playable.

 2017 Fundraising – We are working on new guidelines for the next season.  Hoping the Cash Raffle will be our only fundraiser.

 Coaching Reviews/Interviews took place on April 19th.

Treasurer report – Sheila has resigned as treasurer – if anyone is interested in taking over this position please contact someone on the DAYFL board.  Beth Faust will take over the duties until a replacement has been found.

Equipment – New Shoulder Pads for the 7th & 8th grade were discussed.  We feel the skilled positions in these 2 grades need an upgraded shoulder pad.  Nick is checking on a couple more options as these are costly. 

Conservancy Fields will be breaking ground in July 2017 – we hope to be playing on them fall of 2018.

DHS Fields are still a huge concern.  We are seeking alternate locations to have practices & possibly games as the fields at the High School are not ideal.

Nick will be conducting Coaches Reviews & Interviews in April.  If you are interested in coaching next season, please contact Nick Kemp.

2017 Fundraising – We are working on new guidelines for the next season.  Hoping the Cash Raffle will be our only fundraiser.

 We talked about letting an outside club run the concessions at our home games due to lack of parent volunteers.  We will lose approximately $1000 - $2000 for our program.  We are hoping people will step up this year and help a little more.

Spirit & Player packs are in the works – we are hoping to provide the same apparel as the High School.

Equipment – Would like to have 12 people Coaches/Board Members for field set up – Steve Hackl might paint the lines again this year.  Waiting for a response from Badger on how they are going to handle jersey repairs this year.  Helmets needing reconditioning will be sent in soon.  Nick ordered 24 new Xenith helmets.  Shoulder Pad order will be tabled for next month.  Nick is still waiting on tackle wheel prices to determine how many we will order.

 The Village Budget for the Conservancy Fields was approximately $750,000 under the actual cost.  Items DAYFL will need to kick in money for are goalposts, scoreboards, concession stand & bleachers.  To get these done right away DAYFL might need to take out a loan.

We need to recondition 36 helmets & approved the purchase of 24 new Xenith helmets.

 Next year player & spiritwear packs are going to be sold with the high school.

Equipment – Coaches are requesting Tire Dummies for next year – Nick will look into a cost.  Josh will be cleaning out the shed & getting ready for equipment turn in on October 23- check website for times.  Goalposts need to be taken down & rebar stakes need to be put in the fields for ease of painting/locating next year. 

 Field Conditions were horrible this year due to excessive rain – Eric Hamele is checking into bringing dirt to fill in the low points on the fields to eliminate puddle formation.  We used the sump pump this year to help move water but the fields need to be leveled if we want to use these fields next season.

We will not have a Meat Raffle this year – lack of parent volunteers.

2017 Fundraising – The Cash Raffle was a great success – we raised $13,540.  The DAYFL board will be discussing future fund raising obligations.  The cash raffle made more than a whole years worth of fundraising efforts from other events.  We are hoping this will be the only fundraiser DAYFL parents will have to do. 

Conservancy Fields – groundbreaking Spring 2017 – possible usage Fall 2018.

Equipment – New gold pants were ordered for 7th & 8th grade - $1,500 of this was paid by the Edge Fitness fundraiser – THANKS!! Stickers still need to be applied on some helmets.

Player & Spirit wear stores were reopened to generate more interest & $ for the program.

Pictures & Weigh-in on Tuesday August 16th. Coaches please have kids in alphabetical order & your binders ready to go. Birth certificates will be needed for new players.

Conservancy Fields – groundbreaking Spring 2017 – possible usage Fall 2018. Nick was going to talk with the Lacrosse Club & see if we can use Linde Field for our games in 2017 since we will be sharing our fields with them at Conservancy.

Game schedules should be finalized by August 22nd.

Officials are being lined up by Nick – 3 officials will be used for 4th & 5th grade. 4 officials will be used for 6th, 7th & 8th grade. We pay the officials $50 per game.

Youth Night – September 2nd. The raffle drawing will take place @ 6:00 in front of the stadium. Players should wear their jerseys for free admission into the game. Players & Coaches will line up near the flag pole @ 6:30. At 6:45 they will create a tunnel for the Varsity Team to run through then go back to the stands. At halftime players will meet on the track by their coaches & will be announced by team. Please tell your players to be on their best behavior! 8th grade is responsible for selling the 50/50 raffle tickets – they get to keep this money to help pay for their year-end tournament.

Equipment – Inventory was done on the helmets. There are 39 Schutt helmets that are no longer wanted to be put in use unless it is a last resort. That means there are 36 helmets that need to be sent out for reconditioning. Nick wants to order more Xenith helmets. Steve made a motion to purchase 24 new Xenith helmets @ $109 – $2,616 total cost to the program. Beth seconds. Motion approved.

Secretary report - Motion made by Steve to approve second by Paul. Motion passed.

Treasurer report - rent is paid through January. No other large expenses due at this time. Steve made a motion to approve the treasurer report Paul seconds motion approved.

Equipment - 90 helments need to be disposed of or reconditioned. DNA Schuttes are old. Should we buy new or recondition 40 of the old Riddel helmets? Nick will talk to Badger to see what the cost on new helmets vs reconditioning will be. Some families have still not turned in equipment. The grade directors will be contacting these families - please get you equipment handed in!! 60 jerseys that are in need of repair are being sent back to Badger Sporting Goods & fixed for no charge.

Meeting called to order by Nick at 7:05 pm.

Secretary report - Motion made by Steve to approve second by Darryl. Motion passed.

Treasurer report - referee fees went up this year as we paid the refs $50 per game up from $40 & we had 4 refs instead of 3. Trainer bills were increased because we switched to one field so the trainer was on hand for more hours per day. Checking account sits at $17,700 with no more major expenses to pay this year. Darryl made a motion to approve the treasurer report Steve seconds motion approved.

Equipment - hand-in went well. November 15 will be the final day to hand in equipment. 60% of the old leg pads were tossed. They were old & most kids are using girdles.

Nick, Paul & Eric have a meeting with Kelli Bialkowski, director of Parks and Rec, on November 9th to discuss new game fields amenities.

Equipment Report - All Old shoulder pads were removed from the shed & thrown out. Goal posts are coming down Sunday & returned to the shed.

Field Search - the village is purchasing land out by Conservancy Place. Construction will start summer of 2016. We will hopefully be playing on new fields the fall of 2017. Paul, Nick & maybe Eric Hamele will be sitting down with the village to discuss right to use & amenities. We will be responsible for putting up a concession stand/storage shed with possible bathrooms. New Complex needs - goalposts, scoreboards, lights for 1 field, bleachers, concession stand/storage/bathroom.

All families need to get their volunteer obligations done. If you have not got both game day & fundraiser obligation you will be billed $100. Please contact your grade director if you are unsure or need to get this accomplished.

Game pants - only order sizes we need.

Jersey repair - we will be getting some quotes from a couple vendors. We will pay someone to fix - are there any parents that might have a contact?

Next year apparel?? Badger or Kollegetown?

Coaching apparel for next year - matching apparel?? Pullover & a hat provided by the program & an option to buy more if the coachs want.

Equipment hand-in is scheduled for October 25, 2015 4:00 - 5:30 @ the shed for all teams except 8th grade - times per grade are posted on the website. We will need each grade director & at least one coach per grade. 8th grade/alternative day is November 15. Please have all uniforms washed & helmets wiped down & cleaned.

We need a concession Chairperson for next season. Any volunteers??

We have a possible candidate who is considering being next season's Equipment Manager.

Treasurer’s Report - Major expense increase was League Fees to Dane County. Insurance cost have almost doubled. Motion to approve by Paul second by Beth motion approved.

Equipment Report - Game pants for next year need to be purchased. Nick will get some samples to look at & vote on the color. Need to order more line paint. 28 pairs of shoulder pads need to be tossed.

Field Search - No additional info from the village at this time. We are still hoping to be gifted some land from the village.

Apparel - Badger is out of stock on some of the coach's apparel. We also are ordering some more of the baseball hats as some of the coach's did not get them due to needing to have 2 teams for 4th grade. The replica jerseys (sublimation apparel) from Kollegetown are stuck in shipping. This order is supposed to ship on Sept. 18 so we should have it to you soon.

Youth Night went well - the kids loved running on the field. The 8th graders did an EXCELLENT job with the 50/50 raffle - raised $503!

New games field - people are liking the new location - softer ground - better concession sales. Port-a-Potty cannot be moved any closer as the school does not want the removal truck driving on the grass - Sorry!

Need to find someone to fix the stiching on some of the stock jerseys? A parent?

Equipment Report – Game pants – we need to purchase new ones.  The old game pants can be used for practice pants.  Some kids like to wear the shorts & knee pads for practice so practice pants might be phased out.  Nick will check on prices.

We also need to purchase a trailer dolley.  Cost will be checked on for this. 

Nick made a propoal to recondition 58 helmets @ $40 each and buy 35 new Xenith helmets @ $109 each – total cost would be @ $6,135.  Paul made a motion to pass Louie seconds motion is approved.

2015 DHS Coordinator is being sought.  Eric Hamele was a suggestion – Nick will talk to Mike Minick.

Player Safety Coach – Nick Kemp will be taking this over for 2015.

Website -  will be switching to Blue Sombrero – this will save the program $675 per year as it is a free.

Eric Hamele was here to propose suggestions for fields improvements.  He will be meeting with McQue once the snow is gone to make some plans on how to improve the fields.  We are also checking into the Linde fields – possibility we might be able to use some of the land out there.

The land DAYFL was looking to buy is possibly being bought by the Village of DeForest - DAYFL is hoping they will be gifting this land to our program.

Field conditions have been ok so far - we are going to look for volunteers in the fall to help re-seed after the season is over.

Equipment Report - We tried to order Xenith helmets for the players who we are having difficulty with correct fits.  Xenith helmets are on backorder nation wide.  Please let coaches know if your child is having any helmet issues so they can be corrected.
 
Sponsorship Letters will be mailed out this week - let Sheila know if you have a business or work for an employer that would like to sponsor DAYFL and have an ad on our website or trailer.
 
The safety meeting that Nick had was not very well attended.  Nick will be sending out an email pinpointing the important issues that were covered.
 

Jake Nicholson will be heading up the 8th grade Brat Bust to make money for the 8th grade tournament.  We will be needing volunteers including players from the 8th grade to help out.

These additional coaches have been approved by the board: 7th grade - Nate Erickson, Robert Reece &  Eric Hamele  5th grade - Matt Garcia, Mark Endres & Travis Ebel.
 
Stock Jerseys will be handed out Thursday August 14th after practice.  Parents please fill out the Jersey agreement form.  Jerseys will not be released to the player until an agreement form has been filled out by the parent.
 
We have a couple tenative scrimmages scheduled with Sun Prairie - 4th - 6th grade - August 27th ~ 7th - 8th grade August 28.  Times & Locations still  to be determined.
 
Picture Night is Tuesday August 19th.

Equipment Report - Helmets are back from reconditioning - they were inventoried and put away.  Nick & Louie have the shed all organized & ready for equipment handout on July 20.  Line paint has been purchased - a crew of volunteers will help paint the fields a couple days before practice begins.  Additional spike cleaners were purchased so each squad will have one.  We need to order nice hangers and a hanging system for the new stock jerseys. Nick will research some options.  
 
Field Search - we need to meet with a banker to see exactly what we would need for funds to possibly get this ball rolling.  
 
Player Packs will be in soon for anyone who ordered.  The Spirit Wear will be posted soon for families to order.  DAYFL will receive a 10% kickback on all purchases.
 
The Sponsorship letter is being revamped and will be sent out soon to local business to help cover the cost of the website which is currently $575 per year.
 
Nick Kemp has volunteered to be the Player Safety Coach.  There will be a coaches safety meeting July 21 @ 7:00 at the Fireman's Park Pavillion.  Player & Parents safety meeting date & time still to be determined.  Look on the website for this info soon.
 
We received 2 landscaping quotes - it is too late to do any back filling & seeding but we would like to do some fertilizing to help improve the grass that is there.  Nick will talk to Mike McHugh to see if the High School will let us do this.  In the fall, we might reseed.

                                           see if that helps with numbers.

Equipment Report - Louie cleaned out the shed last week - looks great ! We have 80 old Schutt helmets that are old and cannot be used anymore.  We will keep some for fundraising events and throw out the others.
The practice pants are getting very worn out.  We discussed using shorts with girdles & knee pads as an alternative to purchasing more pants.  Shoulder pads were counted - there are about 12 pairs that are old so if after equipment handout we need more, we will purchase new ones then.  Line paint & Painters Tape needs to be purchased.  Coaches requested Cleat Cleaners for all squads. 
 
Field Search -  Paul talked to a consultant - he will send us the details and it will be discussed next meeting. 
 
Player Pack - opening back up from June 16 - June 22 - a lot of people missed the order deadline.

De Forest Area Youth Football Board Meeting  
March 9, 2014
 
Meeting called to order by Nick at 7:03 pm.
 
Board members in attendance: Nick Kemp, Paul Kirchberg, Beth Faust, Louie Willams, Steve Blumer, Brenda Laufenberg & Darryl Clark.
 
Treasurer’s Report -  Sheila was not in attendance.
 
Secretary’s Report  - Steve made a motion to pass Paul seconds - motion passed.
 
Equipment Report - Louie found an alternative location for the storage shed.  Nick and Loiue will check into.  Helmet reconditioning is done - we should get the helmets back within the next week. $35 Schutt Shoulder Pads - Louie will inventory shoulder pads to see how many new ones need to be purchased.
 
Field Search - we are still checking on possible land parcels to buy.
 
DAYFL Time Line was finalized.  It will be posted on the website as an official document.
 
Paul did a cost analysis for the purchase of Stock Jerseys.  If we purchased for the whole program, the initial investment would be approximately $10,300. This would result in an increase in Player Fees with an option for the player to buy a replica jersey to keep if wanted.  Should we start with just 7th & 8th grade and see how it works?  Less money, less risk if it doesn’t work well.  Nick is waiting for prices from Ripon (High School uses) and also will talk to some of the other programs that are currently using the stock jerseys.  We will discuss further next month.
 
Missing equipment was brought to the attention of the grade directors.  There are still a  couple families that have equipment - Please get your equipment to your grade director.
 
St. Olaf’s & DHS has approved any field conditioning we want to do.  Reseeding will be done at some point after Lacrosse is done.  We will get some bids from local landscaping companies to have the fields rolled & leveled.

Updated Code of Conduct , DAYFL By-Laws and Grievance Procedures including DAYFL Incident Report & Incident Log were reviewed.  Steve made a motion to approve Jake second - motion approved.
 
Coaches Registration will be available March 16th.   Coaches Assessments will be scheduled sometime in April. 4th grade will be individual assessments, 5th - 8th grade will be done together as a grade.
 
Summer Football Camps:
Don Beebe House of Speed Youth Camp - June 27 - June 28 Mt. Horeb $130
Green Bay Packers Youth Camp - various dates(posted on website) - $250
 
2014 Registration/Spring Kick Off Meeting/Jersey Sizing is tentatively set for Saturday May 10th @ DeForest Middle School.
 
Equipment Handout will be done for all grades tentatively July 12th at one of the Elementary Schools to be decided.
 
Coaches Director duties need to be defined and followed.  A meeting with Mike Minick will be scheduled.
 
2014 Budget - Sheila will work on this.
 
Spirit Wear & Player Packs Options were tabled for next week.
 
Player Safety Coach - looking for a volunteer to fill this position.
 
Next meeting will be April 13, 2013 7:00 pm @ Rodeside.

DeForest Youth Football Board Meeting
February 9, 2014

Board members in attendance: Nick Kemp, Paul Kirchberg, Sheila Smozynski, Beth Faust, Steve Blumer, Brenda Laufenberg & Darryl Clark.
 
Treasurer’s Report -  Net Income for 2013 was $9,000.  Sheila will check into maybe putting this money into a savings account or a CD to make a little extra.  Quarterly rent will be the next large expense along with the helmet reconditioning.  Paul made a motion to approve Steve seconds - motion approved.
 
Secretary’s Report  - December’s meeting was the coaches evaluations - nothing much to report.
 
Equipment Report - Sent out 64 helmets to be reconditioned.  13 were personal helmets. Paul made a motion for the program to pay for the personal helmet reconditioning. Steve seconds.  Motion approved. Quite a few shoulder pads are in bad shape.  Louie will take a count and suggest how many need to be ordered.  Additional dummies were also requested.  We would like to have spike cleaners for every squad.
 
Field Search - a realtor was contacted to see if there is any land available to buy.  There are a couple parcels that aren’t ideal but they cost about $50,000 per acre.  Paul suggested hiring someone to draft a layout of the proposed fields & parking to make it more visual.
 
DAYFL Time Line was drafted - the board will review and talk about it next meeting.
 
Stock Jerseys were again discussed. There are lots of pros & cons. Tabled for the next meeting.  Paul will do a cost analysis for the next meeting.
 
Survey Analysis  was sent to each board member - board will review and discuss next month.
 
Missing equipment was brought to the attention of the grade directors.  They will contact the families personally.
 
Field Conditions and moving the game fields were discussed again.  Plan of attack for spring reconditioning is being worked on.

Coaching Assessments & Training Dates need to be set up soon.
 
Grievance Procedures were tabled for next month. The time line needs to be reevaluated.
 
Volunteer tracking is being done by the grade directors.  Anyone who didn’t fulfill their volunteer hours will be charged the $100 fee. The Alliant Circus will be counted as 2013 if volunteer hours still need to be fulfilled.
 
Dane County Meeting is February 12th.
